Job Title: Contract and Supplier Manager

Reports To: Head of Procurement / Director of Operations

Job Summary:

The Contract and Supplier Manager is responsible for managing the procurement of goods and services, negotiating contracts, and maintaining strong relationships with suppliers to ensure the delivery of quality products and services at competitive prices. This role involves monitoring supplier performance, mitigating risks, ensuring compliance with contract terms, and driving cost-saving initiatives while maintaining high standards of quality and service.

Key Responsibilities:

  1. Contract Management:
    • Draft, negotiate, and manage contracts with suppliers and vendors to ensure favorable terms and conditions.
    • Ensure contracts align with the organization’s goals, legal standards, and compliance requirements.
    • Monitor contract performance and ensure timely renewals or terminations based on business needs.
    • Resolve disputes or issues related to contract terms, ensuring a favorable outcome for the organization.
    • Maintain a database of contracts and ensure all necessary documentation is up to date.
  2. Supplier Relationship Management:
    • Develop and maintain strong relationships with key suppliers, ensuring open communication and mutual understanding.
    • Conduct regular performance reviews with suppliers, assessing quality, delivery, and overall service levels.
    • Address and resolve supplier-related issues, fostering continuous improvement.
    • Identify potential new suppliers to expand the company’s vendor base.
  3. Procurement and Sourcing:
    • Source goods and services at competitive prices while ensuring quality and sustainability standards are met.
    • Collaborate with cross-functional teams to understand business needs and ensure timely procurement of materials and services.
    • Implement cost-saving initiatives, negotiate pricing, and manage supplier contracts to deliver financial benefits.
  4. Risk Management and Compliance:
    • Ensure compliance with legal and regulatory requirements related to contracts and procurement.
    • Conduct risk assessments of suppliers and develop strategies to mitigate potential risks (e.g., supply chain disruptions).
    • Maintain knowledge of industry trends and changes in supplier markets to anticipate risks and opportunities.
  5. Data Analysis and Reporting:
    • Monitor and analyze supplier performance metrics, identifying trends and areas for improvement.
    • Prepare reports on procurement activities, cost savings, supplier performance, and contract status.
    • Use data insights to drive procurement strategy and decision-making.

Qualifications and Skills:

  • Education: Bachelor’s degree in Supply Chain Management, Business Administration, or a related field. A Master’s degree or professional certification (e.g., CIPS, CPM) is a plus.
  • Experience: 3-5 years of experience in contract management, supplier management, or procurement.
  • Technical Skills:
    • Strong knowledge of contract law, procurement processes, and supplier relationship management.
    • Advanced Excel skills and experience with data analysis.
  • Communication Skills: Excellent negotiation, communication, and presentation skills.
  • Problem-Solving: Strong analytical and problem-solving abilities to address supplier issues and negotiate favorable outcomes.
  • Attention to Detail: Exceptional organizational skills with the ability to manage multiple contracts and supplier relationships simultaneously.
