Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The Administrative Assistant will provide support to ensure efficient operation of the office. You will support managers and employees through a variety of tasks related to organization and communication. The ideal candidate is resourceful, a good problem solver, and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.
Key Responsibilities:
- Provide general administrative and clerical support, including mailing, scanning, faxing, and copying to management.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Answer and direct phone calls; take and relay messages to appropriate personnel.
- Maintain electronic and paper filing systems for records, correspondence, and other documents.
- Perform data entry, manage databases, and generate reports as required.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Monitor office supplies and reorder as necessary.
- Assist in project management by coordinating deadlines and deliverables.
- Greet and assist visitors to the office, providing a professional and welcoming environment.
Requirements:
- Proven experience as an administrative assistant, virtual assistant, or office admin assistant.
- Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint, in particular).
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Strong organizational and planning skills.
- Excellent written and verbal communication skills.
- High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary will be a plus.
Desired Skills and Competencies:
- Ability to work independently and as part of a team.
- Familiarity with office equipment (printers, fax machines, etc.).
- Customer service-oriented mindset.
- Knowledge of office management systems and procedures
Working Conditions:
- Primarily office-based with occasional travel to supplier sites or industry events.
- Flexible working hours may be required depending on project timelines.
